Job Summary
The Events Coordinator for the Center for Community and Cultural Engagement (CCE) plays a key role in planning, organizing, and executing events that celebrate cultural diversity, foster community building, and promote civic engagement. This position supports the Center's mission by managing the logistics, communication, and administrative details necessary for successful programming. The ideal candidate is detail-oriented, culturally responsive, highly organized, and thrives in a collaborative, student-centered environment.
Responsibilities
Event Planning & Execution
- Coordinate and execute cultural, educational, and community engagement events hosted or supported by CCE.
- Work with students, staff, faculty, and community partners to plan inclusive events such as heritage month celebrations, pillar events, guest lectures, service days, and social mixers.
- Manage event timelines, planning checklists, and run-of-show documentation to ensure smooth operations.
- Coordinate logistics such as space reservations, equipment rentals, catering, transportation, permits, and security as needed.
Event Documentation & Organization
- Maintain organized records of event planning materials, attendance data, evaluations, contracts, and post-event reports.
- Assist in creating and maintaining a centralized archive of past events to support institutional knowledge and continuity.
- Track project milestones and ensure follow-up on all event-related tasks.
Marketing & Promotion
- Collaborate with CCE staff and university marketing teams to develop promotional materials for events.
- Support the distribution of flyers, digital graphics, email campaigns, and social media content.
- Help ensure all outreach materials are inclusive, accessible, and aligned with the Center's values and visual identity.
Collaboration & Communication
- Serve as a liaison between CCE and other campus units, student organizations, and external partners in relation to event coordination.
- Attend meetings related to event planning and provide updates, feedback, and logistical insights.
- Provide support and coordination for co-sponsored events and programs.
Administrative Support
- Assist with event budgeting, including processing invoices, tracking expenses, and reconciling costs for events.
- Support supervision of volunteers or student workers during event planning and implementation.
- Ensure all university policies and procedures (risk management, accessibility, hospitality, etc.) are followed for all events.
Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
- Bachelor's degree in Higher Education, Event Management, Communications, Marketing, or related field.
- Experience planning and executing cultural, educational, or community-based events in higher education or nonprofit settings.
- Knowledge of student development theory, cultural competency, and practices that promote equity, diversity, and inclusion.
- Demonstrated ability to manage multiple projects with competing deadlines in a fast-paced environment.
- Strong organizational skills with attention to detail and follow-through.
- Excellent interpersonal, verbal, and written communication skills.
- Experience collaborating with diverse stakeholders, including students, staff, faculty, and community partners.
- Familiarity with university event policies, risk management, and budget oversight.
- Proficiency with event management software, project management tools, and platforms such as Microsoft Office Suite and Google Workspace.
- Knowledge of marketing strategies, including social media, digital content, and graphic design tools (e.g., Canva, Adobe Creative Suite).Ability to work flexible hours, including evenings and weekends, as required by event schedules.
