Campus Location: Danvers (Primary), Lynn as needed
20 hours per week, non-benefited
Salary: $26.50-$31.50 per hour
GENERAL STATEMENT OF DUTIES:
The Staff Assistant is responsible for providing administrative support to the Senior Executive Officer (SEO) and Vice President of Administration and Finance (VP) while performing administrative duties requiring a high degree of confidentiality, independent judgment, decision-making ability, and exceptional responsiveness to internal and external requests. The Staff Assistant provides support for the President and executive staff present at the Danvers campus President suite, as needed.
The Staff Assistant will maintain calendars, provide data entry and general clerical support.
DUTIES & RESPONSIBILITIES:
- Serves as primary support for the Senior Executive Officer (SEO) and Vice President (VP) of Administration and Finance, acting in a confidential capacity
- Responsible for executing the functions that support the SEO and VP, including but not limited to schedule, travel, mail, phones, emails, data entry and special events.
- Oversees calendars, plans and schedules meetings for SEO and VP and others in the division as needed.
- Manages projects, communications, and other administrative duties, acting in a confidential capacity at all times with all matters.
- Serves on the CARE Committee and Commencement Team Committee.
- Develops and maintains files, records, and databases. Attends meetings, prepares and distributes agendas, takes minutes, ensuring appropriate actions are taken and follows up on open action items, as necessary.
- Creates a student-centered and customer-oriented atmosphere when communicating with students, faculty, staff, and external constituents.
- Processes requisitions/purchase orders, central service/building request forms, reconciles p-card purchases, travel forms, etc. for the SEO and VP of Administration and Finance.
- Assists the Staff Associate to the President with duties pertinent to the College and provides general clerical support.
- Demonstrates excellent judgment and a thorough knowledge of the functions of the College.
- Performs other related duties as assigned.
Job Requirements:
- Associate degree in related field with three to five years of administrative experience supporting executive level staff or equivalent combination of education and related experience
- Excellent administrative, organizational, and communication skills with the ability to follow through and exercise independent judgment.
- Experience supporting executive level administrators within an institution of higher education
- Demonstrated ability to handle sensitive information in a confidential and professional manner.
- Demonstrated proficiency with Microsoft Word, Excel, PowerPoint, all Google applications, Zogotech, Banner, Navigate and/or experience with similar integrated educational databases and software systems.
- Strong interpersonal skills and a demonstrated ability to effectively establish interpersonal connection with culturally diverse populations.
- Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.
PREFERRED QUALIFICATIONS:
- Bilingual (spanish) preferred
- Experience working at a community college or university
ADDITIONAL INFORMATION:
- This position may include occasional/limited evenings and weekend work.
- Must have a valid driver's license and be able to travel between campuses when necessary, or attend state conferences.
