ANTICIPATED HIRING RANGE: Starting salary upon appointment is not expected to exceed $4,482 per month
CSU CLASSIFICATION SALARY RANGE: $4,482 - $6,342

POSITION PURPOSE: Under the general supervision of the Director of Undergraduate Advising, and with daily lead direction from the AV Advising Coordinator, the Student Services Professional IB provides direct support to undergraduate students in meeting their academic goals. The position assists with delivering holistic academic advising services using established university protocols, communicates degree requirements and academic policies, and supports students in course selection, degree planning, and progress toward graduation. The incumbent monitors assigned student caseloads to identify academic difficulties, provides structured interventions, and makes referrals to appropriate campus resources. This position is also responsible for maintaining accurate advising records, documenting student interactions in the university's e-advising system and generating caseload reports for program planning and leadership review. Work is performed utilizing established guidelines, procedures, and precedents to assist students in resolving academic issues and making informed educational decisions.
DUTIES & RESPONSIBILITIES:
Educational Planning Support
- Assist with providing holistic advisement to new and continuing students individually or in group settings, using established advising protocols.
- Communicate established degree requirements, university policies, procedures, and regulations to help students make informed decisions about academic and career goals.
- Assist students with course selection, degree planning, and graduation requirements in accordance with published curriculum guides.
- Refer students to campus resources (e.g., tutoring, career center, counseling) based on identified academic or personal needs.
- Maintain updated knowledge of academic program changes and communicate information to students.
- Document student educational plans and communicate follow-up steps.
Student Academic Progress Monitoring Support
- Monitor student academic progress toward degree completion using standard advising tools and reports.
- Respond to early alert notifications and follows up with students regarding attendance, academic performance, or related issues.
- Meet with students who are off-track for graduation to review challenges and present established options for support or corrective action.
- Track caseload student GPA, progress toward milestones, and unit completion.
- Schedule regular check-ins with at-risk students to reinforce progress expectations.
- Provide structured interventions such as developing academic success contracts or referrals to workshops.
- Prepare summary reports of student progress trends for AV Advising Coordinator or leadership to review.
Student Caseload Records Maintenance
- Initiate and maintain accurate caseload records using Runnerconnect/EAB Navigate or similar e-advising systems.
- Document all student contacts, advising notes, and recommendations in compliance with university protocols.
- Maintain organized records of advising appointments, referrals, and follow-up actions.
- Generate caseload reports for AV Advising Coordinator or leadership review and program planning.
- Audit student files for accuracy and completeness each term.
- Ensure confidentiality and compliance with FERPA in all recordkeeping.
- Update student advising notes with detailed outcomes after each contact.
REQUIRED QUALIFICATIONS: EDUCATION & EXPERIENCE - Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or job-related field and one (1) year of recent related experience. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge, and abilities may be substituted for the required education on a year-for-year basis. Equivalent amounts of graduate level job related education may be substituted for the required experience.
SKILLS, KNOWLEDGE & ABILITIES (SKA's):
- Regular and reliable attendance is required.
- Working knowledge of the methods and problems of organization and program management.
- Working knowledge of research and interviewing techniques, and the principles of individual and group behavior.
- Ability to rapidly acquire such knowledge of the organization, procedures and activities of the specific campus to which the position is assigned.
- Knowledge of the basic principles, practices and major trends in the Student Services field to which assigned.
- Ability to rapidly acquire a working knowledge of the specific objectives of the campus Student Services program and its relationship to the total campus operation.
- Ability to interpret and apply program rules and regulations.
- Ability to gather and analyze data, reason logically, draw valid conclusions, and make appropriate recommendations.
- Ability to present clear and concise information orally and in written reports.
- Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations and other private and public agencies.
- Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
- Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
- Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
- Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
- Thorough knowledge of English grammar, spelling, and punctuation.
- Ability to interpret, communicate and apply policies and procedures.
- Ability to maintain a high degree of confidentiality.
- Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
- Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
- Working knowledge of or ability to quickly learn University infrastructure.
- Must be willing to travel and attend training programs off-site for occasional professional development.
- Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
PREFERRED QUALIFICATIONS:
- Experience providing academic advising, student services, or related support in a higher education setting.
- Familiarity with university academic policies, general education, and degree requirements.
- Demonstrated skills in an institutional/educational environment possessing a customer-oriented and service-centered attitude.
PHYSICAL DEMANDS: SEDENTARY WORK - involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.
SCREENING: Only those applicants possessing experience most directly related to the immediate needs of the office will be invited to appear before a Qualifications Appraisal Board for the purpose of appraising training, experience, and interest in the position.
BACKGROUND CHECK: Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
