Campus Location: Danvers
Work Schedule: Up to 20 hours/week, non-benefited position, Tues/Wed/Thursday 8:30-3pm, with flexibility for office coverage
SALARY: $21.00/ hour non-benefitted position.
GENERAL STATEMENT OF DUTIES:
We are seeking a detail-oriented and proactive Part-Time Administrative Assistant to support our division's daily operations. The ideal candidate will possess excellent communication and organizational skills and demonstrate the ability to manage multiple responsibilities in a dynamic academic environment.
ESSENTIAL FUNCTIONS:
- Attend various meetings (e.g., advisory board, division, and program meetings); record accurate meeting minutes; draft internal and external communications including correspondence, reports, forms, and emails?some of which may be confidential in nature.
- Assist with editing and updating student and faculty handbooks as requested by faculty and staff.
- Retrieve and manage student records and inquiries using the BANNER system.
- Enter and maintain data in program-specific tracking systems using Microsoft Office and Google Suite applications.
- Monitor, manage, and track clinical contracts to ensure compliance and timely updates.
- Provide administrative support for scheduling and curriculum tools such as CourseDog, as needed.
- Handle incoming and outgoing phone and email communications in a professional and timely manner.
- Sort, route, and process incoming mail and correspondence.
- Greet visitors and respond to inquiries, providing information or directing individuals to appropriate departments or personnel.
- Create, organize, and maintain physical and digital files, records, and databases.
- Provide general administrative and office support to faculty, staff, and students.
- Perform other related duties as assigned.

Job Requirements:
- A minimum of an associate degree.
- A minimum of two years of related office experience.
- Advanced proficiency with Microsoft Office and Google Suite.
- Must be able to take notes and compose/transcribe documents such as meeting minutes, letters, memoranda, reports, correspondence, and emails.
- Ability to work well under pressure in a fast-paced and confidential work environment.
- Must possess strong organizational and interpersonal skills and be able to interact effectively with faculty, staff, students, and the public.
- Ability to prioritize multiple projects and work independently with minimal supervision in a multi-task environment.
- Must have strong proofreading, editing, and English language arts skills, including spelling, grammar, word meaning, and usage.
- Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment
