(Primary Location for Job Responsibilities) Our Kennesaw campus is located at 1000 Chastain Road NW, Kennesaw, GA 30144.
Our Marietta campus is located at 1100 South Marietta Parkway, Marietta, GA 30060.
Job Summary
Supervises the records compliance team and serves as an escalation point for complex student record issues related to tuition classification, lawful presence, legal name verification, and immunization compliance. Ensures institutional and USG policies are followed and supports state and federal regulatory requirements. Monitors data accuracy, provides team training, develops procedural documentation, and collaborates with cross-functional stakeholders to ensure regulatory compliance and data integrity. Provides day-to-day team oversight and supports leadership in implementing strategic initiatives and continuous process improvements.
Responsibilities
KEY RESPONSIBILITIES:
1. Supervises daily operations of compliance functions related to tuition classification, lawful presence, legal name verification, and immunization requirements
2. Reviews student records and documentation for accuracy and alignment with USG and institutional policy
3. Serves as an escalation contact for compliance-related inquiries from students, parents, staff, and external inquiries
4. Works with Registrar leadership to develop training materials and provides ongoing training to team members and campus partners on compliance regulations
5. Monitors and evaluates documentation workflows and recommends procedural or technical improvements
6. Partners with Legal, Admissions, ISSSO, and other departments to ensure cross-functional compliance and consistency
7. Oversee data entry, audits, and system updates to ensure timely and accurate record-keeping
8. Oversees the GRITS (Georgia Registry of Immunization Transactions and Services) process to ensure timely and accurate immunization compliance
9. Develops and maintains procedural documentation, knowledge base articles, and communications to ensure transparency and consistency
10. Ensures compliance with FERPA and other applicable laws; maintains confidentiality in all student record processes
11. Assists with institutional and BOR audits and reporting related to compliance
12. Participates in annual training and professional development to keep abreast of new information and program changes
13. Assists with reviewing communication that is sent to students from the Registrar's Office
14. May be responsible for certifying one or more NCAA sports for certification
15. Assists with all graduation ceremonies and ad hoc projects
Required Qualifications
Educational Requirements
Bachelor's degree from an accredited institution of higher education.
Required Experience
Three (3) years of related experience in compliance, student records, and/or registrar operations.
Preferred Qualifications
Additional Preferred Qualifications
Working knowledge of Ellucian Banner, OnBase, and related student information systems
Familiarity with USG policies, FERPA, and immunization guidelines
Preferred Educational Qualifications
An advanced degree from an accredited institution of higher education in Higher Education Administration, Public Policy, or a related field
Preferred Experience
Prior experience in a registrar's office, preferably in a compliance-related role
Supervisory experience and experience interpreting state and federal regulations
Proposed Salary
The budgeted salary range for this position is $45,900 to $55,000. Offers are based on relevant experience.

Demonstrated knowledge of compliance-related areas in higher education (residency, immigration status, immunization, and identity verification)

Effective problem solving, conflict resolution, and de-escalation abilities
Strong organizational and time management skills with the ability to multitask and meet deadlines
Skilled in handling confidential and sensitive information with discretion
Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite, Ellucian Banner, OnBase)
Strong analytical skills and attention to detail when reviewing legal and governmental documentation
Strong customer service skills and phone and e-mail etiquette
