Job Summary:
The College of Professional Programs at Eastern Washington University is currently seeking skilled and team-oriented applicants for a full time Program Coordinator for the School of Psychology based on the Cheney, WA campus.

Under general direction, this position is primarily responsible for coordinating specialized program operations for the Online School of Psychology Programs, the MS Clinical Mental Health Counseling Program, and the EdS School Psychology Program, as well as providing additional support for general School of Psychology operations. In this capacity, the position will also provide support to the Chair and Program Directors, coordinate special projects, conduct training, and provide technical, administrative, and student services support. Position will exercise independent judgment and discretion relating to students in regard to program policies, guidelines and contracts and in implementing, interpreting and applying program procedures and policies. This position will independently advise students, staff and the public regarding the program and the University, engaging in recruiting activities, and act as liaison to local organizations.

In the course of performing the positions duties, this position will have extensive involvement with students, staff, and the public in carrying out program activities, and will coordinate, schedule and monitor program activities to determine consistency with program goals.

Position reports directly to the Chair of the School of Psychology, and will interface directly with Director(s) of the Psychology Bellevue Program, the MS Clinical Mental Health Counseling, and the EdS School Psychology Program.

The salary for this position is $44,868 - $51,612. Where the hired candidate will begin within this range is dependent on education, experience, and skills. Required Qualifications:
MINIMUM QUALIFICATIONS:
  • High school graduation or equivalent AND two (2) years experience providing complex program support services involving students (beyond entry level support work)
  • Demonstrated ability to apply a responsive and flexible approach that is supportive of the needs including universal access of our students, faculty, staff and the public.

POSITION SPECIFIC QUALIFICATIONS:
To be considered qualified for this position, you must meet the minimum qualifications defined above, AND you must meet all of the qualifications listed below within this section:

  • Strong computer skills demonstrated by two (2) years successful full-time work experience using a variety of software programs and working in website development and maintenance
  • Two (2) years of full-time work experience maintaining both manual and electronic records and files
  • Two (2) years of full-time, work experience with demonstrated success handling a high-volume of customer service and contacts (100+ daily), including:
    • Communication with a wide variety of customers (such as other agencies, practicum and internship placements, professionals in the community, internal staff/managers/ administrators, students, and applicants)
    • Communication must include both verbal, phone, email, and written correspondence
    • Overlapping deadlines and strong attention to detail
    • Perseverance, initiative, and the ability to work well both independently and under direction with frequent interruptions

Note: each of the Position Specific Requirements ("PSR") defined above requires two years work
experience involving the functions/abilities described above. This experience can come from one or
more positions, as long as you offer at least two years full time qualifying work experience in EACH AND ALL of the PSRs defined above.

Job Duties:
Program Coordination Activities
  • Coordinate operations related to student practicum, internship, portfolio development, and seminars
  • Assist in writing, completion and presentation of reports, special projects and assignments, and program updates, including PESB, PEAB, and CACREP accreditation processes
  • Assist with student application, admission and registration processes, and progression through the program
  • Provide programmatic support to Director(s) including work related to program development, marketing, and implementation

Coordinate Special Projects and Events
  • Direct and/or coordinate special projects and events, including work of major importance to the program
  • Coordinate onsite and orientation meetings and events
  • Develop and prepare informational materials designed to inform and recruit student participants; conduct presentations at student recruitment and orientation meetings
  • Develop and prepare informational materials designed to retain student participants; coordinate retention related events
  • Attend team meetings; travel periodically to attend meetings and recruiting events
  • Coordinate dissemination of communications
  • Organize and facilitate conferences including preparation of agendas, order of speakers, and length of presentations
  • Maintain program web pages
  • Assist with EWU events such as commencement, orientation, retreats, trainings, and conferences

Program Related Public & Organizational Contact
  • Serve as primary contact with students, faculty, faculty field instructors and external agencies regarding program policies and procedures
  • Independently advise students, staff and the public regarding the program and the University
  • Act as liaison to faculty, staff, and colleagues at other agencies/institutions, representatives of funding agencies and officials from professional organizations, business, industry and government, interpreting policies and making decisions which facilitate progress of project(s)
  • Represent the programs at public, program, and College functions, including the undergraduate conference, retreats, and EWU Graduation ceremonies and celebrations
  • Coordinate program information with EWU departments and schools

Technical & Administrative Support
  • Provide routine support to staff relating to use of hardware and software, assessment materials, networking, setting up computer accounts; includes software unique to the discipline of psychology and practicum and internship placements; refer technology issues/problems to the Office of Information Technology
  • Enter and monitor CLSS entries and EagleNet schedules
  • Assist students with EagleNet, Canvas, and web-based and online technologies and enter
    permissions and exceptions as appropriate
  • Provide administrative support to the Chair and Director(s)
  • Assist with catalog updates and revisions
  • Design office procedures, policies and forms including interpretation and application of
    administrative policies to the work of the program
  • Coordinate administrative standards and procedures for independent yet interrelated school
    functions such as research, curriculum, and instruction
  • Supervise Graduate Student Assistants for the School of Psychology
  • Use EagleNet, Banner, Canvas, Slate, Etrieve, Tableau, and other software to assist staff and
    students
  • Perform office support functions: purchase supplies; screen, prioritize and distribute incoming
    mail; answer, screen, and direct telephone calls; compose and edit correspondence including
    confidential and sensitive information; coordinate document preparation for travel, purchasing, student employment, and event coordination

Program Participant Contact: Students
  • Initiate, maintain, and distribute student contact information
  • Serve as point of contact for graduate programs
  • Track enrollment and progression to candidacy and graduation, including graduation approvals
  • Assist students with EWU and Program policies and procedures
  • Manage all incoming applications/documents for applications including writing prompts, schedule all applicant interviews
  • Assist students with registration, student record changes, and grade information
  • With guidance from faculty, schedule and arrange oral defenses
  • Process and distribute student end of course evaluations

Other Duties
  • Provide staff support for meetings including agenda preparation, minute taking and preparation, tracking and monitoring committee projects and materials distribution, preparation and dissemination of confidential documents
  • Perform office support functions: order and receive office supplies; coordinate book adoptions
    and orders (including desk copies and Acadience); inventory equipment; screen, prioritize and
    distribute incoming mail; answer, screen and direct telephone calls; compose and edit
    correspondence including confidential and sensitive information
  • Organize testing library materials including shipment of kits and protocols to students; monitor returned items; order supplies, and maintain subscription and manage and maintain all assessment (scoring) accounts
  • Coordinate purchasing, graduate student employment, faculty/adjunct employment, event
    coordination
  • Provide support for travel document preparation and processing
  • Monitor budget(s)
  • May also manage and schedule the Chair and Directors appointment calendar, determine
    itineraries, provide weekly calendar briefings, organize and prioritize incoming email and act as confidential liaison on behalf of Chair and Director(s)

Conditions of Employment:
During the course of university employment this position will be involved in the receipt of, or accountability for, university funds or other items of value; as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. The offer of employment is contingent upon successful completion and passing of a background check prior to beginning employment.
