CU Conference Services (CUCS) at the University of Colorado, Boulder is seeking a Conference & Event Space Specialist! This role works under the supervision of the Conference & Event Space Manager, as well as working with all other CUCS professional staff/student staff, Residence Life, conference groups, clients and students. The Conference & Event Space Specialist is responsible for completing tasks that assist the day-to-day operations in implementing conferences and events. This position will also assist in hiring, training, and scheduling the student Event Space Team. This onsite position is at times, the first point of contact for clients, customers, students, and guests.

CU Conference Services (CUCS) creates unique conference experiences. With extensive knowledge of conference planning and university operations, and a team of experienced staff, CUCS provides a full range of event and meeting management services. This reduces the need for contracting with multiple offices on campus, in the Boulder area or beyond. What Your Key Responsibilities Will Be
Oversight & Scheduling of the Student Event Space Team
- Serve as support to the Conference & Event Space Manager in the supervision of the Event Space Team of 10 - 12 students.
- Assist in hiring, training, and evaluating Student Staff.
- Delegate room setup and staffing tasks to the Event Space Team.
- Serve on the Student Development Work Group.
Coordinate & Manage Events
- Manage event requests through EMS and Kx for Kitt Central and Village Center.
- Responsible for gathering meeting history for new groups.
- Conduct initial interview with clients to determine what services are needed and if all appropriate facilities have been scheduled based on their requirements.
- Schedule and conduct planning meetings with client to ensure clear understanding of all arrangements.
- Provide professional guidance, make recommendations and advise clients to meet their needs and expectations of conference/event resources, facilities, and services available through the university and the department.
- Serve as a resource/liaison for information on university and outside services and facilities, and recreational, cultural, and educational opportunities available in the area.
- Develop detailed plans for the specific needs of each client.
- Prepare preliminary budget based on information furnished by client.
- Extrapolate meeting organization as necessary to create some type of preliminary working budget document.
- Accurately develop, maintain, and monitor individual conference budgets.
- Coordinate with Housing & Dining Services conference accountant in all financial activities to ensure that proper procedures are followed.
- Responsible for keeping and creating accurate financial records related to each conference.
- Prepare, negotiate, and implement detailed contracts describing facilities and services requested
- Troubleshoot issues on-site for clients and guests as needed. Support student staff in person and by phone when they are unable to resolve an issue.
- Monitor Crestron control systems and manage AV inventory of microphones, portable mic kits, listening device & connectors/adapters.
- Ensure all aspects of the facility are functioning properly
Collaboration with Conference Planning Team for Summer Conference Events
- Support with onsite operational tasks including but not limited to - Signage distribution management, setups, facility operations, equipment delivery, and audio visual.
Other Duties
- This position requires the ability to work evenings and weekends in support of events and will require the ability to serve in an on-call capacity.
What You Should Know
- The anticipated schedule for this position is Monday-Friday from 9am - 5pm.
- May be required to work outside business hours and weekends to support Event & Conference operations.
- Motor vehicle check required as this position may operate University vehicles. Active Driver's License preferred but not required.
What We Can Offer
- The salary range for this position is $51,000 - $53,000 annually.

What We Require
- Bachelor's degree or equivalent combination of education and experience may substitute.
- 2 years of related experience in conference management and/or scheduling.
What You Will Need
- Proficiency in basic computer applications (Microsoft Office suite including Word, Excel, PowerPoint), Microsoft Outlook e-mail.
- Excellent customer service skills.
- Ability to multitask and prioritize tasks to meet daily and weekly needs while coordinating events weeks and months into the future.
- Proficient at problem solving/trouble shooting.
- Ability to remain calm under pressure and when things do not go as planned.
- Basic to intermediate Audio-Visual knowledge (preferred experience with Crestron Control Systems).
- Knowledge and ability to accurately prepare individual conference budgets in a timely fashion.
- Ability to work independently with little supervision and as part of a team, handling multiple deadlines and projects.
- Knowledge of campus and departmental policies and procedures.
- Ability to communicate effectively both orally, in writing and over the telephone.
- Ability to draft correspondence, reports, etc.
- Ability to establish and maintain good rapport with clients, staff and other departments.
