Child Care Administrative Assistant
Job Summary
Provides routine childcare office support. Provides support and assists with the overall administration and development of childcare center operation. May substitute in childcare classrooms when needed.

Responsibilities
Essential Functions
- Demonstrate effective communication with professionals, parents, and children
- Demonstrate an ability to work independently but show a willingness to take direction from the supervisor
- Demonstrate a warm, energetic disposition and enjoy working with families and young children (6 weeks to 5 years) and be willing to help out in classrooms as needed
- Reviews and processes child care applications and related forms; reviews them for accuracy and completeness; ensures compliance with University and department policies, procedures, and federal, state, and local regulations. Efficiency and speed of processing is a must.
- Receives, greets and directs visitors to the appropriate person or center. May provide child care center orientation and child development information for parents. May be asked to work with diaper bank.
- Answers telephones, provides assistance, and directs families to the correct person or office. Returns calls and emails in a timely manner.
- Processes and answers parent questions in a timely manner, through phone or email.
- Creates and maintains child files, service agreements, schedules, etc, and helps centers access information.
- Schedules appointments with parents and arranges for tours and orientation meetings
- Answers questions about the organization and associated activities.
- A large portion of the work is completed in Microsoft Word, Excel, EZ Care, and other browser programs, therefore, excellent computer skills are a must.
- Help out in classrooms as needed/instructed.

The incumbents in the is position are expected to be familiar with the department's policies and procedures and are required to have a working knowledge of University and department organizations and procedures in order to answer and assist staff and visitors.

Nearly continuously: office environment, occasional: early childhood classroom environment or early childhood kitchen.

Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:Requires 3+ years of related experience.
Department-specific Qualifications:
- High school diploma or equivalency required.
- One year full-time customer services experience or equivalency, demonstrated human relation and effective communication skills also required
- One year full-time childcare experience or equivalency (HeadStart, preschool, or childcare licensing etc.)
- At least 21 years old
- Pass a BCI and fingerprint background check
- Willing to obtain first aid training
- Demonstrated skills in Microsoft Office and management software
- Meet physical characteristics needed for the performance of all job duties (with or without the use of aids)
- Sufficient vision to read small printed material as well as long distances across playgrounds and classrooms for child supervision.
- Sufficient hearing to hear normal and telephone conversation
- Ability to speak in an understandable manner
- Tone with sufficient volume to be heard in an office and/or a busy classroom environment
- Lift small children (up to 50 lbs)
- Carry small children in arms for short distances
- Move about on hands and knees and sit on the floor with children
- Exhibits physical stamina necessary for daily interaction with young children (walking, kneeling, sitting on floor, lifting up to 50 lbs., etc)
- Ability to sit at a computer and perform repetitive motions
- Physical dexterity to use a pen or pencil in a legible format, operate a computer keyboard, and other devices
Preferences
Child Development Associate (CDA), Associates, or Bachelor's or equivalent in Early Childhood Education preferred.
More than two years of childcare center experience
National Association for the Education of Young Children (NAEYC) and Department of Health Child Care Licensing rules and regulations experience preferred.
