Administrative Coordinator

Williams invites you to join our vibrant academic community as an Administrative Coordinator, supporting four key units at the College: the Department of Arabic Studies, the Department of Asian Languages, Literatures, and Cultures; the Program in Asian Studies; and the Program in Comparative Literature. In this role, you will serve as a crucial partner in the teaching and learning mission, providing administrative support across academic operations, financial management, and event planning. You will help ensure the smooth day-to-day functioning of these units while contributing to a dynamic and collaborative intellectual environment. This is an opportunity for someone who is organized, proactive, and invested in supporting both faculty and students in meaningful ways.

Responsibilities:

Administrative and Coordination Duties
  • Coordinate the administrative work of four academic units.
  • Maintain confidential materials used in faculty evaluations and the preparation of tenure documents.
  • Provide advice and assistance to faculty on College financial and hiring systems, and supervise undergraduate Teaching Assistants and Research Assistants.
  • Manage unit communications, assist visitors, purchase supplies, and manage work orders.
  • Manage unit budgets and reconcile purchasing card expenses for department and program chairs.
  • Handle financial forms, including processing invoices, journal entries, reimbursements, and vouchers.
  • Facilitate and manage departmental awards, prizes, and fellowships.


Academic and Communication Support
  • Manage student records for majors and concentrators, including registration, advising forms, study abroad credit and requirement tracking.
  • Oversee course details in the catalog, coordinate the production of course packets, and schedule and prepare classrooms for faculty needs.
  • Oversee communications for all units, including creating and updating brochures, maintaining websites, email lists, Google Drives, and unit bulletin boards.
  • Plan and coordinate unit events, guest visits, and lectures, including arranging travel, accommodations, schedule, publicity, and processing financial items like honoraria.
  • Assist in facilitating faculty hiring process logistics.


Requirements:
  • Associate's degree, two years of relevant experience, or an equivalent combination of education and experience are required
  • Excellent organizational skills with an ability to prioritize, organize and execute multiple tasks
  • Ability to maintain confidentiality in regards to personnel and student information
  • Demonstrated event planning and management experience
  • Familiarity with foreign language learning and/or international education (preferred but not required)
  • Sensitivity to linguistic and cultural diversity strongly valued
  • Ability to work collaboratively with others as well as independently


The pay range for this position is from $25.00 to $27.50, commensurate with experience. This full-time, year-round position is eligible for Williams College's robust benefits package designed to support you in your work and overall health and wellness. Hybrid on-site/remote work arrangements may be available for up to 1 day of remote work per week for employees based in MA, NY, CT, or VT, following a fully in-person onboarding period.
