Gift Analyst
Simmons College

The Gift Analyst is primarily responsible for receiving and recording charitable contributions to the College, in accordance with donor intent, Simmons College policies, and adhering to CASE standard reporting guidelines and IRS rules and regulations governing contributions. This individual will serve as the business and application expert for gift and pledge processing.
This position is also responsible for conducting daily audits of gift entry; assisting with monthly, calendar and fiscal year-end reconciliation with Finance and other fundraising units within the College; producing gift reports as requested; and updating any biographical data received with gifts.

Gift and Pledge Processing
Record gifts and pledges and their assignment to the proper accounts within the time constraints determined by current College and department-wide policies; recording all planned gifts (bequest intentions, bequests, trusts, etc.) and providing gift projections/illustrations through integrated business software as needed;
Process all event registrations fees that include a gift portion; prepare and send adjustments to Cashiers office;
Oversee and perform daily audit of all gift entry staff to ensure accuracy;
Manage the recurring gifts process on a monthly basis (15th of each month or the next business day). Prepare designated reports and follow-up letters related to this process;
Validate and post all gift batches to the Raiser's Edge database;
Verify all gift deposit reports before delivering to the Cashier Office;
Review tax receipts or acknowledgement letters prior to mailing for gifts of less than $5,000;
Adjust gifts and pledges following gift entry protocols and gift acceptance policies;
Provide support to the Assistant Director of Advancement Services in reconciling gift transactions with Finance on a monthly, calendar and fiscal year end basis;
Work with the Assistant Director of Advancement Services and the Major Gifts staff at the end of each fiscal year to write-off pledges booked as revenue on the General Ledger;
Track incoming stock gifts from unidentified donors and work with the Development staff, Business Office and brokerage firm to identify those donors by the end of the fiscal year;
Add and update biographical data received as part of gifts sent to the College (i.e. address, phone, marital status, etc.);
Research and maintain matching gift policy and data for qualifying companies;
Perform other data entry tasks with Advancement Services;
Perform other duties assigned by the Assistant Director of Advancement Services.

Reporting and Documentation
Maintain the policy and procedures manual for Gift and Pledge Management, including Simmons-specific business practices and/or any forms or documents related to gift processing;
Work with the Assistant Director of Advancement Services and Finance to review and finalize the annual Auditor's Narrative in preparation for the College's financial statement audits; prepare and deliver selected gift/documentation for the audit process as requested by Finance;
Prepare and execute financial reports from Raiser's Edge, Crystal Reports or other applications as needed;
Archive backup documentation for credit card, check and cash gifts for the period determined within the Simmons gift policies and procedures and in agreement with the College's archival policies;
Safeguard the confidentiality of departmental or office administration by exercising discretion in communicating information to faculty, students and staff, and handling of all departmental requests.

Customer Support and Training
Manage the advgifts@simmons.edu email box;
Manage incoming calls related to gifts for the 800 line; serve as the primary point person;
Train Advancement Services staff and other event designated staff to enter gifts and event payment transactions; this includes processing credit card transactions, daily reconciliations and deposits that include a gift portion; Assist event staff with reconciliation of deposits and adjustments;
Provide ongoing Raiser's Edge user trainings related to accessing, navigating and reporting on gifts;
Provide ongoing trainings on standard protocols related to gift processing, i.e. CASE guidelines, type of gifts accepted, gift crediting, sending wire transfers and stock gifts.

Qualifications
Bachelor's degree required.
Minimum of I year of professional experience with computer systems, relational databases and Microsoft Office suite of products.
Excellent computer skills and ability to learn and adapt quickly to new software.
Strong proofreading, spelling and editing skills and attention to detail.
Accurate keyboarding skills (50 wpm).
Strong organizational skills, ability to prioritize in a multi-tasking, fast-paced environment.
Ability to manage multiple projects under strict time constraints and still exhibit flexibility.
Ability to maintain confidentiality.
Ability to work independently as well as establish and maintain harmonious relations with other staff, faculty, students, alumni, volunteers and donors.
Accounting background, including an understanding of IRS regulations relevant to non-profit organizations is a plus.
Work experience in a fundraising office.
Knowledge of CASE or IRS rules related to charitable donations is a plus.
Familiarity with The Raiser's Edge and/or Crystal Reports is a plus.
