Job Description:

The Administrative Coordinator works closely with the Center for Middle East Studies (CMES), the Department of Egyptology and Assyriology (E&A) and the Center for Global Antiquity (CGA).

This position provides operational, logistical, and personnel support to the Persian and Arabic language program within the Center for Middle East Studies (CMES). Working closely with the language faculty and the CMES associate director, the coordinator manages the administrative processes for language instruction, including curriculum planning and scheduling and the annual hiring of the Fulbright Foreign Language Teaching Assistant (FLTA). This position also assists with the hiring of a number of student assistants.

The administrative coordinator contributes financial and operational support for CMES language program events, processing honorarium and reimbursement payments, keeping track of event expenses and meeting budget targets. The incumbent will work closely with the center manager and language faculty in organizing events and conferences.

The coordinator also provides curriculum planning support to the academic department manager (ADM) of Egyptology and Assyriology. This position also works closely with the Center for Global Antiquity to hire student assistants.

The incumbent actively maintains knowledge of relevant University policies, institute guidelines, and technical systems to fulfill their responsibilities.

This part time, 19 hours per week, position is 100% funded by an endowment and is for one year with the possibility of renewal, based on satisfactory work performance and dependent upon funding and need.

Education and Experience

  • Associate's degree with at least 3 years of related experience, or equivalent combination of skills and experience.

  • Experience in a university setting is preferred.

  • Experience organizing in-person, hybrid or virtual events.

  • Ability to be flexible and adaptable in a constantly shifting environment with tight deadlines and high volume of activity.

  • Strong time management skills with the ability to multitask and prioritize competing deadlines.

  • Excellent administrative and organizational skills.

  • Excellent attention to detail.

  • Customer-focused, customer service oriented.

  • Excellent communication skills both oral and written.

  • Initiative and ability to work independently and as a member of a team.

  • Uses judgment and discretion.

  • Proficient in Microsoft (Word, Excel) and Google suite applications (Gmail, Sheets, Forms) as well as social media platforms such as Instagram, Facebook, and You Tube.

  • Some experience with newsletter platforms such as Mailchimp, preferred.

  • Some experience with graphic design and podcast and video editing, preferred.

    Additional physical demands and working conditions:

  • This position requires flexibility and adjusting of working hours in a week as events are often scheduled after 5 pm and, very occasionally, on weekends.

  • This position will be expected to attend the annual Commencement event.
