About the Opportunity:
Working closely with the Executive Assistant to the Vice-President of Facilities Management, this position will provide administrative and organizational support to the associate vice-presidents of the Facilities Management Division including operations, facilities services and fiscal management services.

Responsibilities:
  • Calendaring and Meeting Prep: Maintain and coordinating multiple executive calendars as well as assist in coordinating the office workflow on a daily basis. Scheduling internal/external meetings. Coordinating and organizing all preparations for meetings including: creating meeting and committee agendas/itineraries, ordering food and taking meeting minutes.
  • Communications: Assist the associate vice-presidents of the Facilities Management Division on daily issues, projects, and presentations. Create written and oral communications relating to operational matters, proofreading letters, etc. Communicate information on a variety of subjects, frequently and effectively.
  • Event Coordination: Assist in wide-array of event coordination for the Facilities and Campus Planning divisions. Make travel arrangements, seminar or conferences registration. Assist with managing the activities of the conference rooms and meetings.
  • Other: Handle other concerns necessary to ensure smooth operations of the Facilities Management Division. Respond to daily needs and red flag important calls, situations and take appropriate actions to keep everyone informed. Prepare and process various reports as requested; maintaining and updating databases and project lists. Act as a liaison for the associate vice-presidents of the Facilities Management Division on routine inquires.


Qualifications:
Bachelors Degree preferred with a minimum of 2 years of related experience in a business setting, preferably in a large, busy office. An understanding of the facilities operations/management profession preferred. Ability to handle several projects simultaneously. Administrative Assistant must possess excellent communication and interpersonal skills; good working relationships must be developed with internal/external groups and the Administrative Assistant is often the liaison between all groups involved. The Administrative Assistant must be a proven and disciplined self-starter that can make informed decisions and work independently. Attention to detail and organization is critical. Excellent writing and proofreading skills are required as the Administrative Assistant independently prepares and reviews many written documents. Extensive computer experience and knowledge of various computer software packages including Microsoft Word, Excel, Access and Power Point required. Confidentiality is essential in this role as is the need to be flexible and understand the need for changing proprieties is essential.
