Position Description
Performs routine administrative support or technical program assistance work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

Major/Essential Functions
Will report to the Senior Associate Dean, but also works for the Associate Dean for Research & Graduate Programs and the Executive Associate Dean.
  • Coordinates the Senior Associate Dean, Associate Dean for Research & Graduate Programs, Executive Associate Dean and Assistant Dean's calendars, schedules appointments, and arranges meetings, events and conference calls. Plans travel itineraries, processes travel applications and vouchers for four deans. Assists with arrangement and execution of WCOE functions and events.
  • Prepares materials for meetings, as well as follow-up minutes, clerical support, coordination and issues that influence the work of the college of engineering for graduate programs, tenure and promotion, and awards programs. Coordinates scheduling, record notes and publishes minutes of Accreditation Board for Engineering and Technology (ABET) meetings.
  • Perform duties that include management, coordination, research and a variety of other responsibilities in supporting and contributing to the success of the International Experience Program ( IEP). Assists the Executive Associate Dean of International Experience Programs with students, internships, appointments, exemptions and all programs. related to the IEP.
  • Assists all of the International Experience Program Managers with the multitude of students checking in for appointments and coordinating/verifying the availability of Program Managers, Assistant Academic Dean and the Executive Associate Dean.
  • Reception focal point for over 700 engineering students involved in graduate, doctoral and International Experience programs. Provides advisor information to graduate students. First contact to the Dean's office for many engineering students setting positive tone for the department.
  • Provides staff support to the Faculty Award Committee. Prepares time-sensitive correspondence, coordinates award packages, analyzes and corrects award applications as required improving original product and coordinates awards committee meetings.
  • Assists the Senior Associate Dean, Associate Dean of Research and Graduate Programs and the Executive Associate Dean in any other necessary tasks.


Required Qualifications
Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.

Preferred Qualifications
  • At least two years of college. Able to provide atmosphere of teamwork and cooperation, emphasizing positive, timely communication
  • Must be flexible, hours may fluctuate based upon work priorities and demands of meetings and special events
  • Microsoft Office, Outlook, TechBuy, TTU Travel system, Cognos, Banner, and knowledge of statistics
