Position Summary:

This full-time, classified position performs higher-level administrative duties to support the President's Office at Seattle Central College. The Administrative Assistant 4 is the first point of contact for inquiries in the Administration Center. The AA4 provides support to the President, the Executive Assistant, the President's Consultant, and the Administration Center.

This position will perform a variety of complex administrative functions that include composing correspondence, room scheduling, compiling and preparing reports, developing and maintaining budgetary files, spreadsheets, establishing and maintaining manual and data base files, monitoring financial records, and responding to in-person and telephone inquiries for information.

Essential Functions:
  • Have strong conflict resolution skills and de-escalation ability.
  • Provide excellent and professional customer service either in person, over the phone, and/or in writing, in addition to providing accurate and relevant information regarding the President's office and the college.
  • Answers a multi-line telephone system, receive and refer visitors, respond to inquiries and troubleshoot concerns; provide office support with copier, fax and other technical problems for the Administration Center conference rooms.
  • Maintain the President's calendar, schedule meetings that involve a wide variety of on and off campus personnel.
  • Provide meeting materials for the President.
  • Assist the Executive Assistant in providing support to the President with preparing and processing documents including, but not limited to, conference registrations, travel arrangements, reimbursement claims, payroll documents, invoices and contracts; maintain records for the President's Office.
  • Support the President's Consultant.
  • Coordinate and assist with College Council meetings.
  • Coordinate budget and expenditure tracking, reporting, development, and reconciliation; prepare and assist in the preparation and compilation of financial, purchasing, and inventory reports; maintain physical and electronic files for the President's Office; monitor personal services contracts and all travel related documents.
  • Manage and organize confidential records.
  • Order, receive, and maintain supplies, equipment, and inventory, including Central ADA accommodation equipment; and perform electronic mail tasks; send and receive fax transmittals; take notes and minutes at meetings.
  • Compose correspondence using word processing tasks, i.e., merging and sorting, integrating text with graphics, spreadsheets and data base files, upload/downloading, creating footnotes and outlines in responses to frequently requested information; facilitate, support and coordinate committee and college-wide communications; coordinate reservations and other arrangements for on and off-site events; proofread material for content, correct sentence structure, spelling, grammar and punctuation.
  • Serve as point of contact for facilities, custodial, and security matters; backup coordinator for student crisis situations.
  • May supervise temporary hourly and student employees.
  • Maintain confidentiality in the office.
  • Perform related duties as assigned.


Required Education, Experience & Abilities:
  • Associates Degree; Four (4) years of recent full time administrative experience OR any combination of relevant education, training and experience that indicates successful performance of the essential functions of the position.
  • Must possess excellent organizational and effective interpersonal skills, and must have an aptitude for detail.
  • Must have proficient knowledge and experience in the use of a PC and requisite software, i.e., PowerPoint, Excel, Publisher, Outlook, and Word to develop and maintain records, develop, evaluate and revise forms, integrate graphics, and use simple computer inquiry programming.
  • Ability to learn quickly office related equipment and technology.
  • Must develop cost estimates and purchase paperwork for supplies and furniture
  • Must possess excellent writing and strong verbal communication skills.
  • Experience must indicate an excellent understanding and capability to accurately perform mathematics in order to compile and create material such as financial statements, schedules, technical and statistical reports requiring specialized knowledge and judgement in selection and treatment format (charts and graphs).
  • Verifiable ability to exercise a high degree of judgment in handling sensitive and confidential information.
  • Must possess the ability to prioritize own work and that of others when necessary, and must be able to work on several tasks simultaneously.
  • Demonstrate experience working in a collaborative format with diverse groups and in situations which require meeting and greeting the public
  • Position requires the ability to work quickly and complete assignments on time with occasional deadline pressure.
  • Demonstrate ability to carry out projects with multiple and complex components with minimal supervision or direction.
