Position Information

Hiring Department: Metallurgical & Materials Engineering

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $35,568 annually

This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.



Purpose of Position

Coordinates program related activities and initiatives, keeps official records, and executes administrative policies determined by or in conjunction with other officials. Duties are performed under limited supervision and with moderate latitude for the use of independent judgment.

Essential Functions

Supports the department's goals and planning activities.





Oversees program management effectiveness and reviews and analyzes practices and procedures.



Makes recommendations to ensure established standards are met and works to remove barriers that impede continuous improvement.



Recruits, selects, and trains personnel; supervises and manages staff; and maintains a project management system for the department.



Coordinates and assigns duties to support staff and analyzes staff performance.



Evaluates effectiveness of support functions and recommends changes.



Fulfills supervisory responsibilities in accordance with the organization's policies and applicable laws.



Serves as an advocate for the department programs, both within the department and in the community.



Designs and creates systems to support specific program goals.



Coordinates communication efforts and marketing plans for the program by researching and releasing information through multimedia outlets.



Develops brochures, newsletters, flyers, booklets, and other publications for internal and external use.



Coordinates administrative procedures for information processing, record maintenance, and funding compliance.



Compiles, verifies, and prepares materials and information to comply with required reports.



Supports the maintenance of accounting records using an online system.



Oversees budget accounts and purchasing to show receipts and expenditures.



Reconciles departmental accounts online and maintains back up documentation in an organized fashion.



Administers and establishes recordkeeping procedures and monitors records for appropriate information retention.



Maintains online records systems and organizes filing and archive systems to facilitate the expeditious retrieval of information.



Updates semester course schedules as required through the registrar's scheduling system.



Maintains and updates the student advising online record system.



Coordinates advising processes to include student appointments and removal of advising holds.



Assists with grant writing functions to include research, data collection, and generating required documentation.



Plans and coordinates special events (student activities, workshops, seminars, open houses, etc.) on behalf of the department.



Drives within city limits to pick up supplies or make deliveries for planned department activities.



Has knowledge of all Microsoft Office software and is able to learn and use institutional software systems.



Complies with all State and University policies.



Other duties may be assigned.



Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required Qualifications:

Education: Bachelor's degree from four-year college or university

and

Experience: Four years of related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.
